Smart Priority Numbers - This great little utility
has been designed with GP2GP and IM&T DES in mind and will automatically
change Vision history priority numbers in an instant.
When receiving patient records electronically; if a previous practice
adopted a different priority number strategy to yours or didn't use
priorities at all. This will have an impact on all your guidelines and
reports and ease of being able to find relevant data quickly within a
patient record. However Smart Priority Numbers can rectify this problem quickly
and easily.
If your practice hasn't adopted a priority number strategy but would
like to start using them in Vision 3 to quickly display patient history
by importance, Smart Priority Number can sort it out in a few minutes.
In no time at all you can easily sort out a new practice priority
numbering strategy for your whole practice.
It can change priority numbers for a single patient or all patients,
using a single Read code or multiple Read codes, and even searches Null
priority number fields to enable you to
quickly add a number to each and every medical history.
Smart Priority Numbers will be used time and time again saving your
summarisers hours in having to amend each record one at a time in each
new patient record received electronically.
This is a one off purchase at £95.00 +VAT for your practice that can be
used from any workstation and by any user at anytime.
Every few months load up your preferred Read codes within Smart
Priority Numbers to quickly tidy up the whole system.
NEWS FLASH - 5th August 2010
Due to popular demand we have been asked to provide a means to only
change the earliest or latest priority numbers for multiple history
entries, rather than all. As this is quite complex, we feel that Vision
is much better placed in extracting this information. Therefore we are
currently designing an option to be able to read the contents of an
exported Vision search (tab separated txt) file. It will match up each
patient record via the pat_id and verify a found medical history entry
using the event date and exact Read code.
This will allow each practice to totally control which priority
numbers get changed.
Audit Trail
Smart Priority Numbers does change priority numbers directly in the
vision database, which means that no audit trail will exist in Vision. Therefore Smart Priority numbers provides a
full audit trail within the program itself and you may
also print a job sheet off after each run.

It has come to our attention that a few specific NVUG members
seem to have concerns regarding audit trails. However, we
feel that all users should be aware that there is an industry standard
with regards to audit trails and deleted records, in that they only
exist for the time you remain with your current software supplier.
System One even removes transferred out patients and you may need to pay
extra to access this data. Therefore always make sure you keep the last
backup tape if you ever decide to change suppliers (which hopefully you
never will, as we still believe Vision is the best medical system on the
market, once users fully understand it's full capabilities, and this

Smart Priority Number Uses
Here are a few scenarios that Smart Priority numbers can quickly
resolve:
Query
Your practice just received a new patient record via GP2GP and filed all
the records.
However the previous practice adopted a different priority number
strategy, and all the major diagnosis Read codes where recorded as
priority 4 while your practice normally record them as 1...
Resolve
If you already have the patient record open in Consultation Manager,
when you open Smart Priority Numbers it will automatically have selected
that patient for you, alternatively click the "Select a Patient" button
as you would in Vision.
As you need to change all history records that already have a priority
number, tick the checkbox "All Histories"
Then select the number you would like to change in the "From Priority
No" drop down list
Finally select the "Change To" priority number
When you click "Prologue" it will display brief information about what
will be changed if you proceed. Like the total amount of history records
found, there Read code, description and date of event in the patient
record.
Once you commit the changes, Smart Priority Numbers will display a final
report for you to accept or reject these changes. If you reject these
changes Smart Priority Numbers will simply run the process in reverse.
Query
Your practice would like to make sure that most chronic disease Read
codes are recorded with a priority 1...
Solution
If no individual patient is selected, Smart Priority Numbers presumes
the following selections relate to all active patient records.
Click the "Select Read code(s)" button to list all the significant Read
codes. Note that it uses the same terminology as Vision Searches, i.e.
Of Type is hierarchal (all codes within the folder) while Is Equal to
relates to the individual Read code.
Then select All in the "From Priority No" drop down list, so that
regardless of there current priority number it will change them all.
Finally select the "Change To" priority number
When you click "Prologue" it will display brief information about what
will be changed if you proceed.
Once you commit the changes, Smart Priority Numbers will display a final
report for you to accept or reject these changes.
Note: when no patient is selected Smart Priority Numbers requires
exclusive access of Vision as a safety precaution should you wish to
reject the changes.
Auto Exit
Allows you to start Smart Priority Numbers (for example: before you
leave in an evening) and once the job has completed it will
automatically exit.
Selecting this option automatically acknowledges that you accept the
committed changes once set to run and on completion of the job a final
report will be saved in pdf format as “SPN yy-mm-dd hh mm.pdf” to the
C:\Extract folder for you to review when you return.
Read code Selection
The only item that may not be that obvious would be how you change the
Read code selection.
Which is using the right mouse click while the mouse pointer is over the
list box.
Use the Save As button to store your Read codes for future use, and Load
them up when required. This provides consistency throughout your
practice.
Exclude certain Read codes
There is now a facility when changing priority numbers for a single
patient to be able to exclude certain Read codes that are displayed in
the prologue.
This will now enable the user to enter a higher level set of Read
code(s) and then review the produced list and decide what to include and
exclude.
Just double click the Read code or use the space bar on the keyboard
once you have highlighted the specific Read code. This will then toggle
between exclude or include.
Smart Priority Numbers Help
We felt that most of the selections in Smart Priority Numbers were
fairly self explanatory, therefore we haven't provided a help book but
instead produced help tips when you hover your mouse pointer over a
feature.
This web page should provide all the help you need to be able to use
Smart Priority Numbers
Important Note:
Currently Smart Priority Numbers can only be run in a local server
environment due to a
Microsoft OLE DB Provider for Visual FoxPro (VfpOleDB.dll)
which needs to be registered to access Visual FoxPro databases and
tables in Vision.
Therefore until further notice practices' on remote server solutions
(VES, WES, Bureau, CCA, etc..) will not be able to run this application
as INPS do not currently register this Microsoft VfpOleDB.dll file by
default.
Only Practices' that manage there own server can use Smart Priority
Numbers at present.
